How to Use the Time Card Calculator

How does this calculator work?

Enter your clock-in and clock-out times for each workday, along with your lunch or break duration. The calculator automatically computes:

  • Total hours worked each day (in both hours:minutes and decimal format)
  • Weekly totals for each week in your pay period
  • Overtime hours (any hours over the threshold, default 40 per week)
  • Estimated gross pay (if you enter your hourly rate)

Your entries are saved automatically in your browser, so you can come back and update them anytime.

Step-by-step instructions

  1. Choose your pay period: Click "1 Week" or "2 Weeks" at the top.
  2. Enter clock-in time: Type the time you started work (e.g., "8:00 AM" or just "8").
  3. Enter clock-out time: Type when you finished (e.g., "5:00 PM" or "5pm").
  4. Enter lunch break: Type the break duration in minutes (e.g., "30" for a 30-minute lunch), or enter start and end times if you prefer.
  5. View totals: Daily and weekly totals update automatically as you type.
  6. Add pay info (optional): Enter your hourly rate, overtime threshold, and multiplier to see estimated pay.
  7. Print or export: Use the Print button for a clean printout, or Export CSV to save as a spreadsheet.

Time input formats

The calculator is flexible with time entry. You can type:

  • "8:00 AM" or "8am" or just "8" (assumes AM)
  • "5:30 PM" or "5:30pm" or "530p"
  • "12:00 PM" is noon, "12:00 AM" is midnight

The calculator automatically converts your input to 12-hour format with AM/PM.

How do overnight shifts work?

The calculator automatically detects overnight shifts. If your clock-out time is earlier than your clock-in time (e.g., in at 11:00 PM, out at 7:00 AM), it assumes you worked past midnight and calculates the hours correctly.

Example: Clock in at 10:00 PM, clock out at 6:00 AM = 8 hours worked.

How is lunch deducted?

Enter your lunch or break time in minutes. This amount is subtracted from your total work time.

Example: Work 8:00 AM to 5:00 PM (9 hours) with a 30-minute lunch = 8.5 hours worked.

If your workplace has unpaid breaks, include those in the lunch minutes. If breaks are paid, leave the lunch field at 0.

What's the difference between hours:minutes and decimal hours?

These are two ways to express the same amount of time:

  • Hours:Minutes (8:30): 8 hours and 30 minutes. Easy to read.
  • Decimal Hours (8.50): 8.5 hours. Used for payroll calculations.

Conversion examples:

  • 8:00 = 8.00 hours
  • 8:15 = 8.25 hours (15 minutes ÷ 60 = 0.25)
  • 8:30 = 8.50 hours (30 minutes ÷ 60 = 0.50)
  • 8:45 = 8.75 hours (45 minutes ÷ 60 = 0.75)

Payroll systems typically use decimal hours for wage calculations.

How is overtime calculated?

Overtime is any hours worked beyond the weekly threshold (default is 40 hours per week, as standard in the US).

Example with 40-hour threshold:

  • Week 1: 45 hours worked → 40 regular hours + 5 overtime hours
  • Week 2: 38 hours worked → 38 regular hours + 0 overtime hours

You can adjust the threshold if your workplace uses a different standard (e.g., 37.5 or 35 hours).

The overtime multiplier (default 1.5×) is used to estimate overtime pay. In the US, most hourly workers earn 1.5 times their regular rate for overtime, but check your employment agreement—some jobs use 2× or other multipliers.

Is my data saved?

Yes, all your entries are automatically saved in your browser's local storage. If you close the page and come back, your time card will still be there. However:

  • Data is stored only on this device and browser
  • Clearing browser data or cache will delete your entries
  • Private/incognito mode may not save data after the window closes

To keep a permanent record, use the Export CSV button to download a spreadsheet, or print to PDF.

Can I use this on my phone?

Yes! This calculator works on iPhones, Android phones, and tablets. The layout adapts to smaller screens for easy entry on the go.

What if I make a mistake?

Just click on any field and edit it. The totals will recalculate automatically. To start over completely, click "Clear All" at the top.

Can I use this for payroll or taxes?

This tool provides estimates only and is meant for personal planning and tracking. It is not an official payroll system and should not be used as legal, tax, or financial advice. Always verify your hours and pay with your employer's timekeeping system and payroll records.

Does this support salary or exempt employees?

This calculator is designed for hourly workers who track clock-in/out times. Salaried or exempt employees typically don't track hours this way and may not be eligible for overtime under US labor law. Check with your employer or HR department.
